Privacy Policy
Last updated: July 16, 2026
This Privacy Policy explains what information the JCU Men's Soccer Alumni Network (the “Site”), operated by The Ruth Group, collects, how it is used, and the choices available to you. The Site exists to connect JCU men's soccer alumni with current student-athletes for mentorship and career guidance.
The Site is an independent project run by The Ruth Group. It is not officially affiliated with, endorsed by, or operated by John Carroll University or its athletic department.
We do not sell your information. We do not share your information with third parties, except in the limited circumstances described below.
Information we collect
- Account information: name, email address, password (stored only as a salted, one-way hash – we never store or can view your actual password), and whether you are an alumnus or student-athlete.
- Profile information you choose to add: for alumni – graduation year, playing years, job title, company, location, bio, areas you're willing to help with, and a profile photo; for student-athletes – graduation year, career interests, areas you'd like help with, a bio, a profile photo, and an optional resume (PDF).
- Messages: the content and timestamps of direct messages exchanged between alumni and student-athletes through the Site.
- Uploaded files: profile photos and resumes you upload, and (for administrators only) the site logo and other site branding assets.
We do not use advertising or analytics cookies, and we do not track you across other websites or apps.
How we use your information
- To create and secure your account, and to authenticate you when you log in.
- To show your profile to other Site members as appropriate for your role (for example, student-athletes can browse the alumni directory; alumni can see messages from student-athletes who reach out to them).
- To deliver messages between members of the Site.
- To operate, maintain, and improve the Site, and to respond to support requests.
We do not sell your information, and we do not share it with advertisers or any other third party for marketing purposes.
Who can see your information
- Other logged-in Site members can see the profile information associated with your role (as described above), consistent with the Site's directory and messaging features.
- Site administrators (staff of The Ruth Group who manage the Site) can view all member accounts and all messages sent through the Site, for the purposes of support, safety, and moderation.
- We do not sell or share your information with any other third party. The only exception is if we are compelled to disclose it by law (for example, a valid subpoena or court order).
Data storage and security
Your information is stored in a database used only to operate the Site. Passwords are hashed before storage using industry-standard cryptographic hashing (bcrypt); we cannot recover your original password. Uploaded files (photos, resumes, logos) are stored on the Site's server and are only accessible via the link the Site generates for them.
Data retention and deletion
We retain your account and associated profile, message, and file data for as long as your account remains active. You may ask a Site administrator to delete your account at any time; deleting an account permanently removes your profile and all messages associated with it. Some records may be retained for a limited period where necessary for legal, security, or record-keeping purposes.
Your choices
You can review and update most of your profile information at any time from your profile page. To request a copy of your data, or to request that your account be deleted, contact the Site's System Administrator using the information below.
Children's privacy
The Site is intended for JCU alumni and current student-athletes and is not directed to children under 13. We do not knowingly collect information from children under 13.
Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we will update the “Last updated” date above.
